Terms of use

These terms are between you and Pharmacist Hub, a registered business name of Mina Khalil. Creating an account means you accept them. If you do not, do not use the service.

You need to be at least 18 and able to enter a contract.

Pharmacist Hub lets you log shifts, produce invoices, track expenses and continuing education, and export it all for your tax return.

It gives general information, not advice. It names T2125 lines and it will tell you when your billings cross the GST/HST small supplier threshold, but those are calculations on numbers you entered, not a professional opinion on your situation. Nobody here is your accountant, bookkeeper or lawyer, and no one at Pharmacist Hub holds themselves out as a Chartered Professional Accountant. Before you file, check it with someone who is.

The service does not send your invoices, collect your money, or file anything with the Canada Revenue Agency. Those remain yours to do.

Keep your password to yourself and your account secure. Turning on two-factor authentication is the single most useful thing you can do, and it takes a minute. Anything done through your account is treated as done by you. Tell us promptly if you think someone else has got in.

The figures are only as good as what you enter. You are responsible for checking that your hours, rates, expenses and tax settings are right before an invoice goes to a pharmacy or a number goes on a return. A calculation the service performs does not transfer that responsibility.

You are also responsible for keeping your own copies. The Income Tax Act requires you to retain business records for six years from the end of the tax year they relate to, and that obligation sits with you, not with this service. Export regularly.

The software, the name and the design belong to the operator. You get a personal, non-exclusive, non-transferable right to use the service while your account exists, and it ends when you delete it.

Your records belong to you. Your shifts, invoices, expenses, clients and continuing education are yours, not licensed to anyone, and deleting your account takes them out entirely. No right is claimed to publish them, sell them, share them, or use them to train any model. Aggregate figures are not quietly resold as market data either: what you earn and who you bill is nobody else’s asset.

Nothing here limits what you may do with your own exports. They are your business records and you may take them anywhere, including to a competing product.

When you add a pharmacy you are entering someone else’s contact details. You confirm you are entitled to do that, and that you will use those details only to bill and correspond about your own work. Do not enter patient information anywhere in this service; there is no reason to, and it is not built for it.

Because that data is yours to justify rather than ours, you cover the operator against claims arising from what you enter, from how you use the records you produce, and from your own professional practice. This does not extend to anything caused by the service itself.

Do not:

• Try to reach another account’s data, or probe the service for weaknesses without asking first.
• Use it to invoice for work that was not done, or to produce documents intended to mislead anyone.
• Resell it, or run it as a service for other people under your own account.
• Automate it in a way that degrades it for everyone else.

The service is offered as it is. It is not promised to be uninterrupted or error free, and it depends on suppliers whose outages are outside anyone’s control here. Maintenance may take it offline occasionally.

This matters most at month end, when you are trying to invoice. Keep exports so a bad afternoon is an inconvenience rather than a problem.

To the fullest extent the law allows, Pharmacist Hub is not liable for indirect or consequential losses, for lost profit, or for a tax consequence arising from figures you entered or filed. Total liability for any claim connected with the service is limited to the greater of what you have paid for it in the twelve months before the claim, or one hundred Canadian dollars.

Nothing here limits liability that cannot be limited by law, and if you are a consumer under Ontario’s Consumer Protection Act, nothing here takes away rights that Act gives you.

You can delete your account at any time and there is nothing to negotiate; see deleting your account.

Access may be suspended or withdrawn for a serious or repeated breach of these terms. Except where that is impossible, you will be told why and given a reasonable chance to export your records first.

How your information is handled is set out in the privacy policy, which forms part of these terms.

These terms are governed by the laws of Ontario and the federal laws of Canada that apply there, and the courts of Ontario have jurisdiction.

These terms may change as the service does. Material changes will be notified by email before they take effect. Continuing to use the service afterwards means you accept them; if you would rather not, delete your account and take your data with you.
